Procedures
Before Exhibition Project Initiation Consultation between Organizer and Service Center Requirements for exhibition project initiation: name of the exhibition, name of the Organizer, scope of exhibits, exhibition time, exhibition scale, agreement letter from collaborating organization, copy of the business license of the Organizer (the Organizer shall have the eligibility to organize conventions and exhibitions.)
Exhibition Project Negotiation and Lease Contract Signing Exhibition schedules reservation, exhibition service consultation, rental budget statement, exhibition guidelines, service introduction and material provision .The deposit shall be paid within five (5) business days after the contract is signed.The exhibition area layout(for booth rental) shall be submitted within one (1) month after the deposit is paid.
Communication between the Organizer and the Project Group The project manager establishing the project group that will provide the Organizer with one-stop solution: exhibition planning, booth construction management, business, meetings, catering, coordination of advertising spots, security and fire prevention, basic guarantee, cleaning and other professional services .
The balances due shall be paid up before going through the move-in formalities.
Going Through Relevant Formalities Applications to relevant authorities for exhibition approval, fire prevention, security, and so on. shall be finished twenty(20) days before move-in.
Plan Implementation between the Organizer and the Project Group Equipment supply plan: lighting, air conditioning, elevators and escalators, the Internet connection, etc.
Security, cleaning and transportation plan: security, cleaning, parking lot management, road traffic
Exhibition engineering plan: main venue construction, exhibition area planning, booth design, power use review, power connection, power use safety management, design and setup of standard and special booths, exhibition equipment and tools leasing, construction management, drawing review
Marketing plan: advertising spot arrangement, marketing material design, manufacturing and setup
During Exhibition On-site Services and Management for the Exhibition Inspection and patrol for security and fire prevention by the Organizer and the Security and Property Management Department of NICEC
On-site patrol by the project manager and relevant departments
Managing on-site traffic in terms of visitors, vehicles and logistics
The Planning and Management Department overseeing on-site services and conducting service survey
After Exhibition Return Visit and Project Settlement The Organizer filling out the service quality survey
The service quality inspector from the Service Center evaluating services
Post-exhibition expense settlement
