1.Move-In Management Regulations
 
1.1 Formalities for the Organizer
 
1.1.1 The Organizer shall go through the move-in application formalities in NICEC and summit copies of the following files and documents (the original copies are needed for verification) five(5) business days prior to the start of exhibition set-up:
 
A. Approval of the Organizer’s application (required for conventions, exhibitions and events with “China” and “international” in their names, and with exhibits needed for customs clearance);
 
B. Conventions, exhibitions and events must be applied to the police department for security purposed and approved;
 
C. Contingency plan;
 
D. Letter of Authorization for On-Site Settlement by the Organizer (see attachment 3 for detailed format)
 
1.1.2 Rental and deposits due before move-in shall be paid up in accordance with the exhibition hall leasing contract signed by the Organizer and NICEC.
 
1.2 Move-In Formalities for Exhibitors
 
Exhibitors shall go through move-in formalities at the office area set up by the Organizer for the convention/exhibition/event.
 
1.3 Move-In Formalities for Other Organizations, Entities and Groups
 
Other organizations, entities or groups that need to access the hall for construction during non-exhibition time period or for non-exhibition-related construction shall obtain permission from the relevant departments of NICEC, and construct in the designated time and area. It is not allowed to enter the exhibition hall in advance or to construct or stack materials outside the designated area without permission.
 
NICEC has the right to refuse entry into the hall of the Organizer, the contractor(s) of the main venue, the contractor(s) of Special Booth(s) and other contractor(s) from outside who fail to go through the above-mentioned move-in formalities.
 
1.4 Move-in Management for Aluminum Materials and Exhibition Tools, Equipment and Devices from outside
 
Exhibitors who need to bring their own exhibition tools, equipment and devices shall submit written application to the Customer Service Center of NICEC ten(10) business days before and enter the venue after obtaining the approval and going through relevant formalities.
 
Exhibition tools, equipment and devices, and exhibits and exhibit-related materials brought by exhibitors shall be placed within their respective booth(s), but not in areas outside the booth(s) and other areas within the building line without NICEC’s permission, NICEC has the right to remove them out of the building line otherwise.
 
During move-out period, the main venue contractor(s) and the contractors for Special Design Booth(s) from outside are subject to the checkup and confirmation for the exhibition tools, equipment and devices conducted by the designated security contractor in accordance with the relevant regulations by the Organizer before moving aluminum materials out of the hall.
 
For the sake of electricity safety of Standard Booth(s), exhibition tools, equipment and devices, and exhibits and lighting fixtures brought by exhibitors shall not be mounted or connected directly to the exhibition shelf/shelves and power outlet(s) at the Standard Booth(s) without permission. Applications shall be made to the designated contractor of the exhibition’s main venue for their mounting and/or connection. 
 
No organization, entity, group or individual is allowed to smuggle or steal facilities, equipment, devices, exhibition tools, equipment and devices, lighting fixtures of NICEC out of the hall, otherwise NICEC will handle according to relevant regulations and hand over serious cases to the police department.
